It is used for the accurate management and tracking of staff attended hours against a planned schedule, roster of activity or daily and weekly contract hours, ensuring that staff are accurately measured and paid correctly. Using a highly flexible and sophisticated rules based engine, WorkPlace Time & Attendance can accurately handle complex pay and work rules from large groups down to a single employee in single or multiple sites, in one or many countries. This ensures each individual is treated fairly and within their agreed contract of employment, such as the way breaks are allowed and paid and time rounding rules. In its simplest form, attendance can be set to the expected start and finish times or daily contract hours with actual attendance exceptions managed manually. However it is more usual for the employee to register their attendance and this can be achieved in a number of ways. WorkPlace Time & Attendance supports all types of registration including swipe and proximity cards, biometric devices, kiosks, IVR and handheld devices, or simply through a web browser on any device such as a PC, till or PDA. WorkPlace Systems offers a complete design, install and maintain service for data collection having installed tens of thousands of units over the past two decades. Partnerships with a wide range of hardware manufacturers ensure a complete solution to meet any customer’s requirements. Devices are normally connected on a real-time basis ensuring real-time alerting and status of attendance. This is particularly relevant for critical resources or where service levels and contracts have to be met and any shortage or deviation from the planned schedule needs to be reacted to quickly, such as situations of driver crewing, customer facing sales or service personnel and in emergency services. The core of the Time & Attendance system is the ability to support extremely flexible shift structures and employee shift plans. Based upon many years of experience and development, these handle all elements of paybands, overtime arrangements, grace periods, breaks, shift premiums, flexitime, contract hours and absence approvals - but in a way which allows minimum time involvement by the management and staff running the system. The system is exception-based with exceptional lateness, unexpected absence and unauthorised overtime reports produced automatically, as well as roll-call reports produced on demand. Absence approvals are simple to enter retrospectively or in advance and lead to full historical analyses at group and employee level of both summary absence types - such as Paid Holidays, Paid Sickness and Training - and of detailed absence types - such as Visits to Doctor, Family Bereavements, Maternity Leave. Management Reporting and analysis on hours paid, hours worked and attended, overtime, absence, sickness and lateness are a particularly effective management tool to improve labour awareness and utilisation. At the end of period, details of employee hours at each payband plus shift premiums and allowances may be transferred to the organisation’s payroll system for automatic payroll production.
